SECRETARY’S REPORT   -   Yolanda L Tam, Secretary

Secretary Tam was absent due to illness.  Kathy Beckett presented the minutes from the May 10th  and May 17th Executive and Board of Directors meetings.  Due to the lack of a quorum, Kathy requested the minutes be circulated via e-mail to those who were not in attendance.  Provided three additional members voted to approve, the minutes would be accepted as written.

TREASURER’S REPORT   -   Erin Brewster, Treasurer

Treasurer Brewster was absent due to work.  Kathy Beckett presented the Final 2005 - 2006 Treasurer’s Report.  A copy is attached.  The Treasurer proposed that a check for $5,000 be prepared for Janice Lessley to present to the WVSO Board at the September meeting.  President Kathy has indicated that the checkbook will be moved to Sheila Ashley.  She will retain checks for emergency purposes only.  Each committee will have a Financial Coordinator who is responsible for all deposits and invoices for that committee.  New procedures are being formalized and will be presented .

PRESIDENT’S REPORT   -   Kathy Beckett, President

President Beckett proposed that e-mail voting be acceptable.  She has also requested a rewrite of all the bylaws.  The Bylaws Committee consists of Marge Entsminger, Mala Bumgarner, Kelly L. George, Maxie Foster, Kathy, and Beth Ann Surber.

Kathy announced the Fall General Meeting will be September 12th at The Marriott.  Invitations have been mailed.  Please contact JoEllen Zacks or Sara Walker to RSVP.  Finger sandwiches and assorted pastries will be served.  The Marriott is helping underwrite the event.  Patti Carnemolla will be honored with the Distinguished Service Award.

Beckett also provided a copy of the 2006 – 2007 Proposed Budget.  The Budget Committee questioned telephone charges, included in the Office Charge expense.  Paul Helfrich is checking to see if we may remove the phone from the league office.  Kathy also asked that individuals ask her to make copies rather than make them at The Clay Center, except in the case of emergencies to further reduce our expenses.

Jackson Kelly is assuming the total cost for printing the Roster.  The format has been changed to spiral-bound, 8-1/2 x 11, using Word, to facilitate future changes.   Sallie McClaugherty requested that everyone receive a copy of the Roster.

President Beckett mentioned there is an issue with membership and season tickets.  She proposes that a table be set-up at next week’s Annual Meeting to ask individuals to sign-up for the Roster and indicate that they want to purchase season tickets.  Paul offered to have Marsha Graves call those individuals with information about what seats are available for their selection.

Janice Lessley presented to Kathy the insert from the previous Sunday’s Arts insert in the Charleston Newspaper that mentioned the Ball.

President Beckett indicated that there will be a Steering Committee for the 25th Symphony Sunday to present a historical perspective.  The committee consists of:  Rosalie Gaziano and Helen Lodge as co-chairs, Sallie McClaugherty, Diane Amores, Kathy Beckett, Beth Ann Surber, and Shelia Neal, chair of Symphony Sunday Committee.

Kathy is establishing the Symphony Kid’s Club.  It is designed to provide a 2-1/2 party for the children of parents who attend the symphony.  In surveying potential families, she received interest from 25.  She will work with Teresa Figueroa to develop this further as an on-going fundraiser.  She asked that Teresa involve Kathy’s mother in planning a “Teddy Bear Tea Party”.  JoEllen Zacks mentioned that in Chicago this type of event is a huge success.

Valerie Ellis, Membership Co-chair, will be receiving Membership Forms.  Individuals will be sent a cover letter which will serve as the Invitation as well as the league brochure and a dues statement.
