Board of Directors Meeting
February 13, 2008

CALL TO ORDER – Beth Ann Surber, President
President Surber called the meeting to order at 5:35 p.m. and thanked everyone
for traveling to the meeting despite the snowy weather.
ATTENDANCE
Laura Lee Albert, Helen Epps, Emily Hopta, Linda Jernigan, Melissa Marland,
Sallie McClaugherty, Elizabeth McConnell, Shelia Neal, Beth Ann Surber, Yolanda
Tam, Barbara Knight Warren.
SECRETARY’S REPORT – Emily Hopta, Secretary
Secretary Hopta presented the minutes from the November Board of Directors
meeting. Sallie McClaugherty motioned to accept as presented. Linda Jernigan
seconded. Motion carried.
TREASURER’S REPORT – Beth Ann Surber & Shelia Neal
Due to illness of a family member, Shelia Neal provided a summary of WVSL
account activity for Treasurer Jane Powell. The Symphony Ball netted $6,713,
twice the projected amount.

REVIEW OF FUNDRAISING EVENTS
1. Fashion Show – Sallie McClaugherty
No report.
2. Symphony Ball

3. Teddy Bear Tea – Shelia Neal
No report. (See New Business)
4. Golf Tournament – Linda Jernigan
The golf tournament will take place on April 28 at Edgewood Country Club.
Sponsorships are going very well, as are prizes and food planning. The entry fee
is $140 per person and WVSL members are invited and encouraged to sponsor golf
carts at a cost of $50 per cart.
5. Symphony Sunday – Shelia Neal
The 26th consecutive Symphony Sunday’s theme is Let Music Sail You Away.
Highlights will include a Peachy Canyon wine tasting on the UC patio (led by
WVSL member Eileen Beckett’s nephew), jazz brunch and the rehearsal dinner.
Board members having past experience with the UC contract were asked to review
the 2008 agreement.
6. Kroger Cards
Several members have noted difficulty with card scanning at the checkouts.
7. Melonious Merchandise – Linda Jernigan
A meeting will be held to discuss supply and demand issues related to web
postings.
8. Chocolate Sales – Sallie McClaugherty
Sallie recruited board members for the upcoming Pops and Symphonic concerts.
President Surber recommended all members be asked to sell one night during the
year.
9. Cello Endowment
No report.
10. Young People’s Concerts – Laura Lee Albert
Tomorrow’s “Latin Beat” concert has 41 buses coming – a new record number and
record attendance for the 9:45 a.m. performance! All three levels of seats will
be full. The next concert will be for grades K-2 in March.
PRESIDENT’S REPORT – Beth Ann Surber
President Surber circulated summaries of the work of two special committees,
Events and Recruitment/Retention. She noted the committee work had been an
interesting experience and that she was pleased to be involved, but was now
bowing out to focus on the remaining events of 2008.
President Surber proposed a creation of a new committee of Past Presidents,
which would be chaired by the immediate Past President. This committee would
keep Past Presidents involved and support continuity of WVSL knowledge and
history. Laura Lee Albert moved approval of the Past Presidents committee;
Barbara Knight Warren seconded.
OLD BUSINESS
Membership – Beth Ann Surber
Louise St. Clair has joined the WVSL. Barbara Knight Warren requested new member
information be sent to her for posting on the WVSL website.
Arts Advocacy
Jeanne Moore was unable to attend due to the wintry weather.
NEW BUSINESS
By-Law Changes
New financial procedures were recommended last year and will be proposed this
year. The changes will reflect accurate business practices. The proposal will be
posted in March for review at the May general membership meeting.
2009 Events – Shelia Neal
The Symphony Ball will be held at the Clay Center on September 12 to kickoff the
2008-09 season. The Teddy Bear Tea will also be held at the Clay Center on
December 7. The Marriott will be the venue for a new fundraising event, a WVU
tailgate party.
ANNOUNCEMENTS
• Sallie McClaugherty has tickets for the raffle to benefit the Clay Center and
Symphony. This year’s grand prize is a trip to Tuscany. Tickets are $100 and the
drawing will be held on March 18. Ticket sales are limited to 900.
• Emily Hopta requested board members contact her with ideas, articles or
requests for the winter newsletter.
ADJOURNMENT
With no further business to come before the league, President Surber adjourned
the meeting at 6:40 p.m. The next board meeting will be held on March 12 at 5:30
p.m. at the home of Elizabeth McConnell, 401 Yorktowne Road.
