ATTENDING:  Mary Rose Nair, Ilene Beckett, Melissa Marland,

 CALL TO ORDER:  President Shelia Neal called the meeting to order at 10:00am.

MINUTES:  Janice Lessley moved that the minutes of the May 20 meeting be filed as presented. The motion was seconded and passed.

TREASURER:  Ruth Joseck presented the budget for review.  Dee Rumbaugh moved that the budget be accepted as presented.  The motion was seconded and passed. Ruth presented a sample invoice to be used and offered assistance in using it.  She stressed the need for reported expenses, invoices and receipts for each event.  Each person must submit a reimbursement form.  If expenditures to be made will exceed $200.00, there must be prior approval of that expenditure.  Reimbursement forms are available on the web site.

PRESIDENT ELECT:  JoEllen Zacks reported that the Symphony League roster had been updated, and the new rosters will be available at the Fall General Meeting. 

PRESIDENT:  Shelia Neal asked League members to use the printer in the Symphony office.  You need to contact Shelia Ashby to get the code for use of the printer.  Please, clear the copier after you are through using it.  Shelia announced that Scott Dodson is the new Marketing Director for the Symphony and his services should be used in the promotion of League events.  She also thanked the League members for their commitments to the League.

VP COMMUNITY SERVICE/PUBLIC RELATIONS: 

YOUNG PEOPLES’S CONCERTS:  There was no report.

MEMBERSHIPThere will be a membership table at the concerts.  The new roster will be available at the Fall General Meeting.  We were reminded that dues to the WVSL are not tax deductible.

WEB MASTER:  Barbara Warren has posted up-dated pages of the League roster and asked that League members review the roster for any corrections.  She announced the web site; www.wvsl.org/private.htm.  The suggestion was made to post pictures of League members on the web site.

SCORE:  The SCORE’s last paper copy is the current issue.  All future copies will be on the web site. The next deadline for the SCORE is November 25, 2009

HOSPITALITY:  The Fall General Meeting of the WVSL will be September 16, 2009 at the Governor’s Mansion.  For security reasons, all attendees must RSVP .  Iris Riggs is  enlisting greeters for the event.
NETWORKING/TELEPHONE:  There was no report.

VP FUND RAISING:

MELONIOUS:  There was no report.

HOLL’S CHOCOLATES:  There was no report.

KROGER CARDS:  The League has not received a check from Kroger’s in 3 months.  The store only sends checks when the amount to be sent is a minimum of $2,500.00.

SYMPHONY GALA:  The goal of the money to be raised is $50.000.00.  The tickets are $175.00 per person, but $150.00 per person if purchased by September 25.  Individuals can make a donation of $100.00 to support the fund raiser and honoree Dr. Dan Foster if they cannot attend.

FASHION SHOW:  The Fashion Show will be Tuesday, November 10 at the Clay Center.  Ivor’s, Charlie’s, Geraniums and Kelley’s will provide the fashions for the evening.

TEDDY BEAR TEA:  The Tea will be held Sunday, December 6, 2009  at 2:00pm at the Clay Center.  The Charleston Ballet will not be a part of this year’s Tea.

DANCING WITH THE STARS:  The event will be held at the Embassy Suites Hotel on April 23rd, 2010.

GOLF:  The Tournament will be held at Berry Hills Golf Club in late April or early May.  Angel Moore Riggs will be the co-chairman for the event.

SYMPHONY SUNDAY 2010:  The theme for next year is “Symphony Over the Rainbow”.  The Friday night party will be called the “WICKED PARTY’.  Bayer will sponsor Symphony Sunday with a $25,000.00 donation.  Teresa Figuerosa will coordinate the auction during the event.

DSA:  There was no report.

HISTORIAN:  Deborah Davis would like to present a scrapbook to the out going president at the end of the year.  She asked for contributions of pictures and clippings from the year’s activities.

SIGNAGE:  There was no report.

SYNPHONY SUNDAY, 2009:  Symphony records/books were closed by the auditors as of August 29, 2009.  The profit for Symphony Sunday was $3,000.00 as of that date.  The League received a bill from the University of Charleston Food Service for $30,000.00 which was higher than previous years.  Shelia Neal and Teresa Figueroa will meet with Dr.  Welch concerning the high cost of the food and service provided during the event.  Shelia said that a contract would be signed in advance with the food service prior to the event from now on.

UNFINISHED BUSINESS: 

CELLO ENDOWMENT:  Current balance in the fund is #16,000.00.  A suggestion of a yearly pledge of $1,000.00 by the League to the fund was tabled.

INSTALLATION OF OFFICERS:  Those League officers not installed in May, 2009 will be installed later. 

OTHER/ANNOUNCEMENTS:  The next executive Board/Board of Director’s meeting will be the Fall General Membership Meeting at the Governor’s Mansion on September 16, 2009.
